Technology projects — a system migration, a new line-of-business application, an office move, a Microsoft 365 rollout — are where many SMEs lose the most time and money. The tools are rarely the problem. The way the project is managed usually is.
1. No single owner
When a project is shared informally across a business owner, a vendor and whichever staff member has time, decisions stall and accountability disappears. Every project needs one named person responsible for outcomes, even if delivery work is outsourced.
2. Scope agreed verbally, not in writing
Verbal agreements with vendors or internal stakeholders lead to mismatched expectations. Objectives, deliverables, timelines and what is explicitly out of scope should be documented before work begins.
3. No realistic timeline or milestones
Projects without milestones are hard to track and easy to let drift. Breaking work into phases with checkpoints makes slippage visible early, when it is still cheap to correct.
4. Underestimating change management
New systems fail to deliver value when staff are not prepared for how their work will change. Training, communication and a clear go-live plan matter as much as the technical implementation.
5. Treating go-live as the finish line
Many projects lose momentum once the system is switched on. Post-launch support, issue tracking and a short review period are needed to confirm the project actually achieved its objectives.
A practical starting point
- Name one accountable owner for every technology project, regardless of who delivers the work.
- Document scope, timeline and budget before work starts, not once issues arise.
- Set milestones and review progress against them on a fixed schedule.
- Build a communication and training plan into the project from the outset.
- Schedule a post-implementation review 4 to 6 weeks after go-live.
Most SME technology projects do not fail because of the software chosen. They fail because of how the project was run. Applying basic project discipline — ownership, documentation, milestones and follow-through — significantly improves the odds of a successful outcome.
